Specialist Facility Management (m/f/d)
Your tasks consist of
Corporate Services Function
- Room management and facilities management (room management based on employees' internal and external needs; coordination and management of moves and internal and external facilities)
- Maintenance and repairs (coordination of building interventions and company specific needs)
- Building and access security (e. g. card issuance, key management, security systems, security exercise management...)
- Occupational health and safety management on site (e. g. organization of employee safety training, occupational physician, etc.)
- Archive and document management (including room and facility capacity planning, shipping, return, destruction)
- Business continuity mission in case of emergency (member of the continuity management team, test, Business Comity Plan.)
IT Support (so called « helping hands »)
- Provision of computer equipment (for employees, meeting rooms, technical rooms),
- Suppression of computer failures and emergency situations (both for pbb's own equipment and for building equipment / power supply / UVS)
- Management of the mobile phone fleet (emission/return of devices, negotiation of contracts with local suppliers, invoice processing)
- Support for fixed telephony
- Interface with internal pbb colleagues and external service providers (in particular Fujitsu and Cancom)
- Physical and phone reception desk
- Receipt / delivery of mail / distribution of mail
- Management of material requirements and other purchases (including recording and approving orders and invoices in the Ariba supply system)
- Mail and messaging management
- Support to on-site teams (e.g. travel reservations, business card orders, ISA rights requests, participation in the organization of events)
Your skills consist of
Education: Degree in Administrative Management or equivalent.
Level of expertise/experience: 3 years' experience minimum in a similar role in an international context.
Knowledge of systems: IT skills with Excel capabilities, competent with Notes, Word, PowerPoint
Languages: Excellent spoken and written French and English.
Personal and business skills: Ability to work in an international environment. Customer focus coupled with developed communication skills.
Technical knowledge: Numerate and organised with the ability to connect different elements to the bigger picture.
